What you are supposed to do

Responsibilities:

  • Provide daily support to the ECMO;
  • Complex diary management of the ECMO including board meetings, internal and external meetings, client meetings and event attendance;
  • Providing an effective and efficient secretariat function;
  • Assistance (together with the Partner Affairs Manager) with the drafting of proposals and correspondence internally and externally;
  • Proactive management of busy diary commitments, documents, and travel agenda;
  • Take the lead to initiate, manage his workload, chase and escalate work activities to ensure deadlines are met for all business activity;
  • Arrange meetings, including the production of agendas and key documents, and take action notes at all meetings as required;
  • Ensure that ECMO decisions are accurately recorded and that actions are followed through by appropriate manners;
  • Assimilate and summarise material and to draft high-quality notes of meetings and corporate communications;
  • Assist with the organizational side of internal management events, led by the CEO and ECMO.

Your skills

Required experience, skills and attributes:

  • Active usage of professional business English, Czech language is an advantage;
  • Previous EA experience at Board level;
  • Excellent communication and relationship management skills;
  • Proficiency in MS Office, including strong Outlook, PowerPoint, Excel and Word skills;
  • Excellent writing, editing, grammatical, organisational and research skills;
  • Previous proven experience with drafting documents and ability to assimilate and summarise material;
  • Highly organised with excellent time management skills to work even under the pressure;
  • An ability to absorb large amounts of information quickly, to analyse and summarise succinctly, to identify the need for expert advice and to secure it, and to prepare a timely briefing;
  • Quick thinker with the ability to take forward work on own initiative;
  • The ability to understand and appreciate the importance of confidentiality and discretion on all board matters;
  • Ability to work independently and with professional discretion;
  • Initiative, judgment and a 'can-do' attitude;
  • Willingness to assist out of hours when urgent needs arise.
